Event Management

Good event management brings the technical, presentation, timing, and audience engagement elements together, so the event runs smoothly from setup through to the final session. Our role is to support your team before and during the event, helping plan the practical details that make a conference feel polished, professional, and well organised.
Before the event, we can assist in writing and reviewing the running order, presenter requirements, screen content, microphone needs, audience interaction plans, and any remote or hybrid presentation elements. This helps identify what is needed for each session, including microphones, slides, videos, comfort monitor information, countdown timers, live polls, Q&A, and discussion panel support.
A clear running order is central to this process. It allows the AV technicians to prepare the correct microphones, set presenter timings, cue videos, adjust lighting scenes, and manage screen layouts in advance of each section. This reduces delays, keeps presenters confident, and helps the event manager maintain the overall schedule.
On the event day, the media hub provides centralised control for video, sound, lighting, presenter timers, comfort monitors, Microsoft Teams integration, and audience engagement tools such as Mentimeter. This compact setup gives the event manager and technicians fast access to the key systems needed to support live presentations, panels, remote contributors, awards moments, and evening entertainment.
We also recommend carrying out checks before the event begins, including slide testing, video playback, microphone allocation, Teams caller testing where required, internet connection checks, lighting review, and presenter comfort monitor setup. These checks help reduce risk and ensure presenters, hosts, and remote contributors are ready before going live.
Throughout the event, we work alongside your event manager to make live adjustments when required, such as updating timings, changing microphone setups, displaying audience questions, switching video sources, or adapting the room setup for panels, breaks, awards, and entertainment. The aim is to provide calm, practical technical support so your team can focus on hosting the event and engaging the audience.
