This section explains the venue conditions needed to safely and effectively install the AVKitHire.com Conference Set. It should be used to check room size, ceiling height, access, loading, power, internet, stage position, sightlines, fire exits and health and safety requirements. Confirming these details in advance helps avoid setup delays, protects guests and staff, and ensures the event space is suitable for the full conference production package.
The AVKitHire.com Conference Set is suitable for most event spaces with a clear ceiling height of 3 metres or more. In its full configuration, the conference set wall is approximately 12.4 metres wide, but it can be reduced for smaller rooms where required. The stage is built from up to ten 4 ft x 4 ft modules and, at full size, measures 8 ft wide by 20 ft long, or 2.4 metres by 6.0 metres. The final layout should be agreed after reviewing room dimensions, audience numbers, sightlines and venue access.
Access routes must be suitable for moving AV equipment safely from the loading point to the event room. Equipment is transported on six trolleys, each approximately 55 cm wide and 80 cm long, although some boards and stage sections may overhang. Door widths, corridors, ramps, lifts, turning areas, floor surfaces and loading distances should be checked before the event. Loaded trolleys must be able to move through the venue without being lifted over steps or carried upstairs.
Ground-floor venues are usually the easiest to service. If the room is on an upper floor, the venue must provide a suitable goods lift. The ALR projector screens are electronic self-rising units and are approximately 3 metres long, so the lift must be able to accommodate them flat or safely at a diagonal. Passenger lifts should only be used if the venue confirms they are suitable for the weight, length and movement of the equipment.
For health and safety reasons, AVKitHire.com cannot carry heavy equipment upstairs. Any stepped access, restricted loading, long carry routes or lift limitations must be identified before the booking is confirmed.

Power Requirements
The Conference Set requires standard UK 240V 13A power sockets for the media hub, sound system, lighting and presentation equipment. Most venues have multiple wall sockets around the room, but their location, circuit capacity and availability should be checked in advance. Extension runs should be kept safe, tidy and protected from audience walkways. If the venue has limited power, shared circuits or restrictions on electrical equipment, this must be discussed before the event.
Room Layout and Sightline Requirements
The event room must provide enough width, depth and clear ceiling height for the set wall, stage, screens, projectors, speakers, lighting, technician position and audience seating. Sightlines should be checked from the front, middle and rear of the room so guests can clearly see the screens and presenters. Pillars, low ceilings, chandeliers, wall lights, windows, air-conditioning units and fixed furniture may affect the final layout.
Stage and Set Position
The stage and set should be positioned where presenters are clearly visible and where the audience can view the main screens comfortably. The venue should confirm whether staging is allowed, whether the floor is level, and whether there are any weight, carpet, fixed-floor or floor-protection requirements. Enough space should be left for presenters to move safely on and off the stage, for microphone handovers, and for any award presentations or photography.
Loading, Parking and Setup Time
The venue must confirm where AVKitHire.com can unload, whether there is step-free access, and whether parking or loading bays are available for the duration of setup and removal. Setup time should be agreed in advance, including access to the room before guests arrive. Additional time may be needed where access routes are long, lifts are shared, parking is restricted, or venue security requires sign-in or loading permits.
Internet and Hybrid Event Requirements
If the event includes Microsoft Teams, remote presenters, live polls, online Q&A or other internet-based services, the venue must provide reliable internet access in the event room. A wired connection is preferred where available. Wi-Fi should be tested before the event, especially if the venue expects a large audience using phones or laptops. Remote presenter tests should be scheduled before the live event to confirm audio, video, screen sharing and room sound routing.
Health and Safety Requirements
All equipment must be installed in a way that protects guests, venue staff, presenters and technicians. Access routes, fire exits, emergency signage and venue walkways must remain clear at all times. Cables should be routed away from public areas wherever possible, taped, ramped or covered where they cross walkways, and kept tidy around the media hub, stage and speaker positions.
